We sincerely appreciate your consideration of Imperial Motor Coaches for your coach accommodations.  
 
Each driver receives a single hotel room every tour night. Hotel buy-outs are not allowed unless they are previously authorized by management or arranged between the tour manager and driver appropriately.
 
Drivers receive an additional day’s pay for drives that exceed 450
miles.  For drives that exceed 650 miles, drivers receive another day’s
pay.  
 
Drivers may not drive over 10 hours/650 miles without an 10 hour
hotel break in accordance with D.O.T regulations over a 24 hour period.
 
Trailers are available for a daily lease charge plus an additional $5 per day  
for insurance.
 
 
*A pro-rated engine service of $0.08 per mile will be charged to all tours.*
 
Lease info and items herein, are not negotiable or open to interpretation.  Imperial Motor Coaches reserves the right to said policies and applications of such.

2011 LEASING INFORMATION  
 
Reservations – Imperial Motor Coaches requires a deposit and signed contract to hold the equipment.  This will be applied to the full payment.  Your reservation is not guaranteed until the deposit and signed contract is received. Payments or deposit made to Imperial Motor Coaches are non-refundable.
 
Insurance – Imperial Motor Coaches provides a $5,000,000 liability coverage at a cost of approximately $50 per day. This cost is included in your daily lease rate at no additional costs to you. Clients are encouraged, but not required to carry their own insurance to cover their belongings and/or contents and gear.  Imperial Motor Coaches, drivers, or and sublease companies operating on behalf of Imperial Motor Coaches, will not be held responsible for any reason for any belongings of the client or vendor regardless of where on the coach or trailer the items are stored.
 
Payment - Payments for your coach will be based on the length of your tour. Your lease will either be determined to be a short term or long-term lease.  If a long-term lease, your payments will be structured for you whereby the deposit, first and last weeks payment will be due prior to the tour commencing.  Each tour week will be paid in advance of that week beginning. If your lease is considered a short-term lease, full payment will be due to our office 5 business days prior to coaches scheduled departure date.  The daily leasing rate applies to everyday the vehicle is used regardless if it is a travel day or an off day Failure to make scheduled payments, drivers payments and/or fuel/incidental floats may result in the interruption of transportation services until such payments have been made.
 
Payment Type – Payments to Imperial Motor Coaches may be made by check, money order, email money transfer, wire transfer, or direct deposit to our account.  All payments must be made on or before their due date(s) to avoid interruption of your transportation service. All payments are non-refundable.
 
Payment default – Any fees charged to Imperial Motor Coaches such as charge back fees, overdrawn fees, and NSF charges will be added to any payment due to Imperial Motor Coaches should the client not be able to make any payment on time due to those reasons.
 
Schedule Liability - Imperial Motor Coaches will not be held responsible or liable in any way for delays and/or termination of any tour date(s) due to weather, acts of God, lack of audience attendance, tickets sales, tour support of any kind, venue, client, and/or vendor engagement cancellations, etc. Client and/or vendor are still responsible under contract and must fulfill all contractual financial obligations to Imperial Motor Coaches.
 
Travel or “Deadhead” - All tours have a travel charge for the travel time from our home location to the designated pick-up location, as well as the travel time from the designated drop- off location back to our home location.  The daily rate is figured with up to 450 miles being one day.  Fuel expense is additional.
 
Primary Use – The primary use of the coach is to provide transportation for the client and/or vendor from city to city or venue to venue.  The coach is not be used as a “taxi service”.  Excessive use of the coach outside of the normal tour schedule will not be tolerated. Client must be aware of driver schedule and duties in compliance with D.O.T. regulations.
 
Driver’s Wages - Drivers receive $225 per day paid directly to the driver. Drivers of Star Coaches receive $250 per day. Drivers with coaches pulling trailers receive an extra $25 per day.
 
Drivers Float – A cash float of $1000.00-$2000.00 should be advanced to the driver at the start of the tour to cover tolls, permits, parking, hotels, incidentals, taxi, chemicals, fuel, etc as needed.  The float should be settled each week or as needed and documented with receipts. A credit card may also be given to the driver, in combination to cash as an alternative.
 
Fuel - Unless specified or requested, fuel will not be quoted as part of the tour.  All tour fuel will be the responsibility of the client for the duration of the tour.  On arrival at the pickup location, the coach will be full of fuel and ready to use.  It is the requirement of the client to fill the coach prior to dropping off at the end of the tour. Should the client not fill the coach, Imperial Motor Coaches will refill the coach at a cost to the client or vendor of $6.00/gallon.
 
Deadhead fuel - As part of your quote, deadhead fuel is included in order to have the coach arrive full of fuel at the pickup location as well as be full upon arrival back to the depot as it left.  It is the requirement of the client to fill the coach prior to dropping off at the end of the tour. All deadhead fuel is covered by the client.
 
Weekly Charges - Drivers will charge $50 for one bus wash per week (min charge).  
Trailers will have an additional charge of $15 wash per week (min charge).  Drivers will charge $50 for generator service every 100 hours of use (approx. one per week depending on bus use).  Lessee will pay for all filters, fluids and/or parts. Driver will charge $50 per week (min charge) for interior cleaning. Linen change will be charged out at $50.00 per week (min charge). The cost of laundry is in addition to this fee.
 
Excessive Mileage - Drivers receive an additional day’s wage for drives over 450 miles. At 650 miles, drivers receive another day’s pay. Due to D.O.T. regulations, drivers can legally log no more than 650 miles per day.  For all drives over this amount, other arrangements shall be made.
 
Excessive Time – Due to D.O.T. regulations, a driver is regulated to the amount of on-duty time.  Any excessive wait time whether on arrival, or prior to departure, will result in and additional days pay to the driver.  This includes, but is not limited to delays in parking/departure, delays in allowing driver to perform services to the coach due to inaccessibility of any kind, or any other item that keeps the driver on the clock beyond the acceptable time required for the driver to complete their daily tasks. In the event of excessive time, after 10 hours, the driver is to be paid an additional days wage.
 
Number of Overnight Passengers – Limited to number of bunks only.
 
Carpet Steam Cleaning - The price and frequency of carpet cleaning will vary depending upon the amount of use, weather, and the local economy.  Under normal conditions, the carpet should not need to be cleaned more than once every three weeks.  Under heavier or more extreme use, the carpet may need more attention.  The cost is approximately $200. Additional costs of carpet cleaning will be invoiced to any tour/group/client if carpet cleaning is required due to tracking of mud/dirt onto the carpet from the client.
 
End of Tour Cleaning - This involves steam cleaning, laundry, disinfecting lavatories, a bus wash, gen service, and anything else needed to return the bus to the condition it was in at the start of the tour.
 
Tracking Satellite Service - $20 per day.
 
Wireless Internet Service –$15 per day per wireless system.
 
Additional Items - If you require Imperial Motor Coaches to purchase anything on the road that would normally be purchased by the Lessee, there will be a 10% handling charge added to the cost of these items. Such items include but are not limited to fuel, tolls, hotels, parking, permits, bus stock, etc. Reimbursement of any advanced payment is to be done prior to tour ending or drop location.
 
Drivers Payroll - If you require Imperial Motor Coaches to handle the drivers’ payroll, there will be a 27.2% up-charge on the driver’s daily rate to cover taxes, workman’s compensation and administrative fees for Imperial Motor Coaches and a third party payroll service.  
 
 
Drivers Dismissal – If you choose to dismiss and replace your driver (s) prior to the end of the tour for a reason that is not tour threatening or safety related, you are responsible for their expenses incurred in returning to their home or our home location (whichever they choose).
 
Parking – If the client and/or vendor requests the driver to run the coach or generator at idol while parked in a noise and/or air pollution restricted area, and the coach or driver receives a fine, all responsibility for fines falls upon the client or vendor.  Such documented must be paid directly to the driver or be sent into the office of Imperial Motor Coaches upon notification from the driver or representative of Imperial Motor Coaches.  Failure to take responsibility will result in a 20% surcharge on top of the fine, per occurrence.  All parking fees are the responsibility of the client.  The driver shall reserve the right as final say for parking and related conditions to idle and noise bylaws in the best interest of Imperial Motor Coaches and the client respectively.
 
The client and/or vendor is also responsible for any and all tickets/citations, violations, fees, permits, etc, due to any parking permission, violation, weight/length restrictions, etc., regardless.  Failure to take responsibility will result in a 20% surcharge on top of the fine, per occurrence.
 
Parking addendum – The driver of your coach retains the final say of your coach’s location for parking.  If your docked location requires the coach to be navigated into an area that will cause harm to the coach paint, undercarriage, coach roof, or trailer, the driver may refuse to take the coach into that area.  This includes refraining from terrain such as, grass, tree lined areas, curbs, steep slopes, narrow passages, and the like.
 
Damages – The client and/or vendor is responsible for any damages to the interior of the coach that is in excess of normal wear and tear. This includes, but is not limited to tears, cracks, scratches, stains, chips, electronics, any interior broken item. Any and all damages caused by the client and/or vendor, the clients and or vendors cargo, and or anyone associated with the client and or vendor, their cargo or otherwise (i.e. representatives, employee's, friends, family, fans, vandals, etc.) the client and/or vendor is responsible for these damages. Failure to take responsibility will result in a 20% surcharge on top of the cost(s) to repair said damages, per occurrence, and could result in tour interruption.
 
The client and/or vendor is also responsible for damages to the exterior of the coach due to client or vendor themselves, representatives, employees, friends, family, fans, enemies, or vandals etc, of the client or vendor in the same manner as the aforementioned. Exterior damages will be repair estimated and invoiced to the client from Imperial Motor Coaches whether repaired in-house or through an approved repair facility.
 
Vinyl wrap – If the client and/or vendor has purchased a vinyl wrap for a coach or trailer belonging to Imperial Motor Coaches, or any coach or trailer subleased through Imperial Motor Coaches, responsibility is assumed to the client and/or vendor.  Costs to repair any damages from either the installation or removal of the wrap are the responsibility of the client.  This includes, but is not limited to re clear coating, repainting the entire coach or trailer, and/or any body damage. A deposit will be collected prior to installation of any wrap, to be secured against any potential damage and used to repair the coach/trailer.
 
Trailers – Imperial Motor Coaches only carries trailer sizes (6x12), (7x14), and (8x15). Imperial Motor Coaches will not tow any trailer larger than (8x15), or taller than the coach itself. In addition, Imperial Motor Coaches, or any sublease company, will not tow any trailer in excess of 9999 lbs GVW.  Tour coaches are not originally designed to tow trailers; however, since our industry has forced tour coach companies to do so on occasion, manufacturers and D.O.T have rated tour coaches towing a trailer to a weight limit of under 10000 lbs of pulled weight.
 
Imperial Motor Coaches, or any sublease company, will not be held responsible or liable for damages to the contents of the trailer under any circumstances. This includes any unlikely events should the trailer detach from the coach while parked or in motion.  Should this happen as a result of the trailer being overweight or packed incorrectly due to the client and/or vendor error and resulting in any damage to the coach, trailer, public, or private property, harm to innocent bystanders, passengers, drivers, etc.  The client and/or vendor will assume all responsibility.
 
When loading a trailer being towed behind a Imperial Motor Coach, or a coach sub-leased to Imperial Motor Coaches, regardless if it is a Imperial Motor Coaches, trailer, a trailer belonging to a sub-lease company, or any other party. Please make sure all of the light weight contents are loaded into the front of the trailer, followed by the heaviest contents in the middle over the axles. Secondary heavy contents are to be loaded at the rear of the trailer. If a trailer is not loaded properly and or over the weight limit restrictions set by the manufacturer, Imperial Motor Coaches, can and will refuse to tow the trailer until it is loaded to the proper specifications. If this cannot be accommodated, it is the clients and or vendors responsibility to provide alternative means of transporting the trailers contents. In this event the client and or vendor are still responsible for the contractual obligations to Imperial Motor Coaches, for the leased trailer.
 
 
If the coach and driver are towing a trailer that belongs to the client and/or vendor, or any party other than Imperial Motor Coaches, and/or any sub lease company at the request of the client and/or vendor, and any law enforcement officer, or traffic authority, deems it over weight/length, not road worthy, or unsafe for travel, it is the clients and/or vendors responsibility to correct these issues at the clients and/or vendors expense and do so in a timely manner to resume the tour.  Imperial Motor Coaches, and/or any sub-lease company will not be held responsible or liable for delays in the tour under these circumstances.  Moreover, any subsequent fines for such are the responsibility of the client and/or vendor.
 
The driver nor Imperial Motor Coaches, or any sub lease company, is responsible for maintenance/repairs and or damages to a trailer belonging to the client and/or vendor or any other party outside of Imperial Motor Coaches, or any sub-lease company under any circumstances.
 
Imperial Motor Coaches requires the trailer belonging to the client and/or vendor, or any other party outside of Imperial Motor Coaches, or any sub-lease company, being towed behind an Imperial Motor Coach or sub-leased coach to Imperial Motor Coaches, be properly loaded at all times, all lights are in working order, meeting all road worthy safety requirements.
 
You must supply us with the type of plug your trailer has so that we can match to it.  If the client and/or vendors trailer does not meet our requirements and specifications, Imperial Motor Coaches can, and will, refuse to tow the trailer and the client and/or vendor must provide alternative means of transporting their gear at their own expense.
 
Imperial Motor Coaches nor the driver and/or any sub-lease company will not be held responsible in any way shape or form if towing a trailer belonging to the client and/or vendor or any other party outside of Imperial Motor Coaches and/or any sub-lease company, behind a coach belonging to Imperial Motor Coaches and/or a sub-lease company, by the clients and/or vendors request, should the trailer detach from the coach while parked or in motion, resulting in any damage to the coach, trailer, trailer contents, private or public property, harm to innocent bystanders, passengers, etc.  Client and/or vendor and/or any other party owning said trailer must carry their own insurance on the trailer and assume all responsibility.
 
Imperial Motor Coaches nor the driver and/or any sub-lease company will not be held responsible in any way shape or form if towing a trailer belonging to the client and/or vendor or any other party outside of Imperial Motor Coaches and/or any sub-lease company, behind a coach belonging to Imperial Motor Coaches and/or a sub-lease company, by the clients and/or vendors request, should the trailer and coach slide and/or move due to weather conditions, acts of God, weight of trailer, etc, resulting in any damage to the coach, trailer, trailer contents, private or public property, harm to innocent bystanders, passengers, etc.  Client and/or vendor and/or any other party owning said trailer must carry their own insurance on the trailer and assume all responsibility.
 
Constant hooking and unhooking/dropping a trailer to and from a coach per clients and/or vendors request may involve overdrives charges upon drivers discretion.
 
All-in Pricing – Many tours find it easier and more convenient to have all in pricing. A 10% up-charge will be added to any additional expenses (fuel, tolls, etc.). If there is more than 300 miles to your pickup location, we require a $500.00 deposit per coach for fuel advance unless a separate deadhead charge is listed in your tour quote.        
 
Non-smoking -  All Imperial Motor Coaches are non-smoking coaches.  This includes all lounges, lavatory, bunk areas, and drivers areas of the coach. Smoking of any kind on any Imperial Motor Coach will be subject to fess of $400.00 per incident and could possibly result in tour interruption.  Smoking on any coach will not be tolerated and is non-negotiable, this includes the use of vaporizers, fragrant incense, or any of the like.
 
Pets – Due to the broad nature of pets, their allergens, and various sensitivities related to such in combination to other potentials that may arise due to the nature of pets, No pets of any kind shall be transported on any part of a coach in lease or subleased by Imperial Motor Coaches to the client.
 
Illegal Substance – Any use or transportation of any illegal substance will not be tolerated on any Imperial Motor Coach or any of its sublease affiliates.  Any such incident is punishable by the law.  To that end, the coach and client are released from any responsibility for such violation. Any loss or cost to Imperial Motor Coaches such as delays, fines, lost revenue, impound charges, towing, hotels, flight costs, service charges, border fines, repairs due to searches, legal costs and applicable fees that are related, shall be the sole responsibility of the client. In addition, should the tour be delayed or interrupted due to illegal substance issues, any replacement transportation costs will be the sole responsibility of the client in its entirety over and above the full amount due to Imperial Motor Coaches for the amount of the full lease.
 
Lavatory -  Due to issues that arise in the waste system, no solids and/or paper shall be disposed of in the lavatory.  Any such disposal will be subject to fees of $150.00 per incident.
 
Living on the bus/No band hotels – Coaches, by design, are set up as sleeper coaches for city to city and venue to venue transport and are not designed to be lived on throughout a tour. This is the nature of Entertainer Coach design. Doing so adds increased wear and tear, increased cleaning/servicing intervals, and extended costs due to generator use and fluids and filters related to such use in addition to other items.  The extended use, also does not allow the driver to have the coach unattended to be able to clean and perform such duties. Clients who use the coach to live in, will be required to vacate the coach entirely for a minimum of a 4 hour block during the drivers awake time every two days for duties to be performed as required.  In addition to that, additional costs may be applied to interior cleaning, coach rate, and drivers fees due to the extended use and more attention required to maintain the coach.
 
Repair and Replacement Responsibilities - In the event of a mechanical failure or breakdown, Imperial Motor Coaches will expeditiously do everything possible to repair the coach and continue with the tour as quickly as possible. If the length of time needed to repair the coach requires a replacement vehicle, Imperial Motor Coaches will cover the expense of such alternate vehicle up to the daily lease rate found in the tour lease contract between Imperial Motor Coaches and the client and or vendor. If the cost for a replacement coach exceeds the daily lease rate charged by Imperial Motor Coaches, the client and or vendor will be responsible for paying the difference. Imperial Motor Coaches will diligently pursue locating an alternate replacement vehicle in the event of a mechanical failure or breakdown. The client and or vendor will not hold Imperial Motor Coaches liable for any lost revenue, hotel costs, shipping of luggage and or equipment or gear, etc. due to mechanical failure or breakdown above and outside the daily lease rate set forth within the tour lease contract. The client and or vendor will not be let out of the contract, or hold Imperial Motor Coaches responsible for any refunds due to loss of, or malfunctioning luxuries such as TV/Stereo Equipment, Lighting, Plumbing, Refrigeration, Generator, Air Conditioning and Heating, etc. Imperial Motor Coaches will do everything possible to restore these luxury items as quickly as possible. Client and or vendor must continue to make scheduled payments found in the tour lease contract.
 
Contract Exclusivity - Management of Imperial Motor Coaches reserves the sole right to add to, remove, or amend this or any contract and/or policy related to it leased coaches and associated drivers. This contract and its policies may not be adjusted or amended with out proper consent from management.
